FINANCIAL LITERACY ASSISTANT

(Bilingual in Spanish)

PURPOSE: Birch Community Services, Inc. (BCS) seeks to build a financially stable community by providing education, food, and nurturing accountability.  The successful Financial Literacy Assistant (FLA) candidate will give support to all curriculum-based BCS training.  The FLA will also assist in scheduling and follow up, and support the systems for tracking and reporting on the outputs related to BCS training and program impact of families.

KEY RESPONSIBILITIES: 

EDUCATION HOST (80%)

Objective:  In cooperation with the Financial Literacy Team the FLA will support best-in-class curriculum for courses designed to fulfill BCS’s stated mission. The FLA is responsible for participation in pre-planning through delivery of BCS training programs, assisting all class curricula development, logistics, scheduling and delivery.  

Responsibilities:
  • Host finance classes (online), and potentially any class held on site
  • Update the education class calendar in Microsoft Outlook/Shared Docs
  • Prepare materials for our education classes
  • Maintain a safe and organized work environment 
  • Maintain clear and open communication with BCS staff and volunteers
  • Interact with participants and volunteers in an enthusiastic and friendly manner

ADMINISTRATIVE (10%)

Objective:  In cooperation with the financial literacy team the FLA will support all activities related to classes, schedule and information management.  The FLA will gather story-based intel gleaned from factors inside and outside of BCS to be used to help families learn to better manage their resources and to assist BCS in improving our programs and developing new ones.  

Responsibilities:
  • Assist the financial literacy department in class offerings
  • Maintain confidentiality and respect for each family
  • Send follow-up communication for tracking and accountability
  • Assist with the financial literacy department’s reports on the findings and outcomes associated with families

OTHER RESPONSIBILITIES (10%)

Responsibilities:
  • Assist the financial literacy department with program outcomes
  • Special projects and other duties as assigned
  • Monitor and evaluate program effectiveness
  • Assist with office tasks and other duties as requested

QUALIFICATIONS:

Requirements:
  • Bilingual in Spanish
  • Be positive, flexible, and self-directed
  • Availability to work evenings
  • Familiarity and comfortable using computers the internet and digital communications and apps
  • Ability to sit at a desk and work in a shared office space/from home 
  • Must have excellent communication skills 
  • Open to, and interested in, learning new computer programs (Zoom, Microsoft Word, Excel, Outlook, OneDrive, Salesforce)

Preferences

  • Experience with developing statistical reports

Full Time Position

KEY RESPONSIBILITIES include the following. Other duties may be assigned. 

Job Responsibilities:

  • Be an integral part of the office team to ensure the Birch Community Services office is operating efficiently and smoothly, with coordination between employees, participants, and volunteers.
  • Responsible for assisting all departments in accomplishing their administrative needs.
  • This position will also cooperatively manage the flow of the front office, which includes greeting guests, answering phones, and responding to requests internally and externally.
  • The employee will handle ordering and controlling office inventory.
  • Maintain online subscriptions such as MailChimp, SignUp Genius, Office, etc. 
  • Assist in onboarding new employees.
  • Update the info screen with office information.
  • Perform other related duties as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties maybe assigned.

Job Description: As a Warehouse Supervisor, you will play a pivotal role in managing the day-to-day operations of the warehouse staff and the shopping floor. We are seeking an experienced and detail-oriented individual to join our team. The Warehouse Supervisor will be responsible for overseeing and enhancing the participant experience on the shopping floor and is particularly skilled at managing and communicating with people. Warehouse supervision experience is required. Your primary responsibilities will include:
Customer Service:

  • Train and supervise warehouse staff to provide excellent customer service.
  • Address staff and participant inquiries, concerns, and requests promptly and professionally.
  • Oversee and assist shopping agencies.

Staff Supervision:

  • Manage and lead a team of warehouse associates, utilizing excellent people management skills.
  • Create and maintain a positive and collaborative work environment.
  • Collaborate with the warehouse team and Facilities Manager to address any safety concerns promptly.
  • Monitor Warehouse Associates to ensure safety procedures are being followed when operating forklifts and machinery.

Volunteer Coordinator:

  • Appropriate management (with grace) of numerous untrained volunteers.
  • Manage and direct volunteers to Warehouse Associates.
  • Foster a safe and purposeful environment for all volunteers.

Floor Organization and Presentation:

  • Self-motivated to address warehouse needs in appropriate time frames.
  • Ensure that the shopping floor is safe, organized, clean, and visually appealing at all times.
  • Implement and maintain shopping standard operating procedures to showcase products effectively.

Inventory Management:

  • Monitor inventory levels, record keeping, and coordinate with the warehouse team to restock products as needed.
  • Implement strategies to minimize product overstock and loss.
  • Ensure inventory and storage areas are clean and maintained.

Flexibility and Substitution:

  • Willingness to fill in as a substitute where needed, including covering shifts for Warehouse Associates, or assisting in other departments as required.
  • Be available to pick up donations with our truck fleet when needed.

Communication:

  • Maintain clear communication with all stakeholders including warehouse team, office personnel, Facilities Manager, and Operations Manager
  •  Provide regular reports on staff performance, shopping floor performance, and
    key metrics.
  • Reflect and report on BCS’ successes and setbacks fostering an environment of collective growth and gratitude.

People Management Skills:

Warehouse Cooler Associate

In general, Warehouse Cooler Associate is responsible for intake, organization, and distribution of refrigerated donated products.  Responsible for ensuring that warehouse safety and maintenance processes are maintained.

 
Full-Time Hours:
Monday:  8:00 am to approximately 3:00 pm.
Tuesday: 10:00 am to approximately 8:30 pm.
Wednesday:  8:00 am to approximately 3:00 pm.
Thursday: 10:00 am to approximately 3:00 pm
Friday:  8:00 am to approximately 3:00 pm.
 
Warehouse Duties

Refrigerated Areas

  • In general, responsible for the intake, organization, and distribution of refrigerated goods.
  • Self-motivated to address warehouse needs in appropriate time frames.
  • Assure all refrigerators and freezers are in good running order.
  • Orderly organization of warehouse space, and regular cleaning procedures.
  • Inventory control and record keeping, in alliance with other BCS employees.
  • Forklift and electric pallet jack operation.
  • Management of safety procedures and record keeping, in alliance with other BCS employees.
  • Appropriate management (with grace) of numerous untrained volunteers.

Shopping

  • Coordinate volunteers to keep the shopping floor clean and orderly, especially in tune with safety issues (wet floors, loose shrink wrap, etc.)
  • Have volunteers sort Resers, Alpenrose, KeHE, Provvista, etc.
  • Maintain the condition and stock of the deli shelves equally distributing items through out the entire shopping day (ESPECIALLY the last hour of shopping).
  • Distribute product in Gracie and BOB periodically throughout the day to maintain equal amounts for all shoppers.
  • Organize product received that day and stock it into racking.
  • Maintain quantities and neatness of refrigerated goods on the floor.
  • Restock 10 door and 9 door freezers as needed.
  • Sort through any mixed pallets received to ensure proper placement (refrigerated, frozen, and dry.)

Clean-up

  • Decide which product to restock on the floor and communicate with volunteers how to organize it, leaving space for the possibility of intake of new items on non-shopping days.
  • Decide the quality on remaining produce giving it to the animal farmers or restocking it into BOB.
  • Move frozen product from BOB back into Rico (drive-in freezer).
  • Make sure 10 door and 9 door freezer are full and restock if not.
  • Direct volunteers in clean-up (sweeping, mopping, garbage, etc.)

The Rest of the Warehouse:
General

  • Share the responsibility for the overall condition of the warehouse with warehouse team. Coordinate the organizational strategies for the intake and storage of the product.
  • Coordinate with the warehouse team and share the responsibility of communicating with the volunteers as well as ensuring that all product that is received is appropriately weighed, stored, and/or distributed.
  • Maintain an OSHA-approved safety program that will cover the safety of the whole warehouse.

Shopping Time

  • During shopping time, help put away the product that we have received that day.
  • Maintain the organization of the empty pallets and return crates.
  • Help with restocking any items in Gracie and BOB that need restocked during the day.

Clean-up

  • Make sure the warehouse is secure at the end of the night.
  • Coordinate the loading of animal farmers.
  • Do the ‘walk-through’ at the end of the clean-up process before locking up, to determine nothing has been left undone, gated area is locked, and all doors are locked.

Odds and Ends

  • Coordinate any recycling that needs to be picked up.
  • Work with warehouse team on the recycling of pallets, being available to load pallet trucks when they come for pickups.
  • Responsible for organizing and implementing the overall plan for inventory with the Operations Manager. We usually discuss the plan and begin weighing the racking in late July or early August for the inventory which takes place on or
    around October 31st.
  • Every six months (February and August) coordinate with Operations Manager on a full fire drill.
